Setting up a fax number list and merge data

In order to set up a fax number list on your UTBox account you will first need to prepare the fax number list for uploading.

To prepare a list of numbers for broadcasting please complete the following steps:

Open your desired spreadsheet composing program (for example: Microsoft's "Excel", or OpenOffice.org's "Calc").

For this tutorial we will use Microsoft Excel 2007.

To begin preparing your fax list document you will first need to open a new spreadsheet.

The next step is for you to add the word "Fax" in the first row under the first column and the word "Name" in the first row under the second column (as pictured).

Insert all of your appropriate fax number data under the "Fax" heading ensuring to format the data (as pictured).

Typically we recommend that fax number data is formatted utilising the number's country and area code.

For example: the number (02) 9988 7766 would best be formatted as 61299887766.

Step 4
 

Insert all the relevant naming data beneath the "Name" heading.

This data can include spaces if necessary.

This "Name" data can be used if you desire to broadcast merged documents (please refer to the instructions under the "For merged fax broadcasting" heading at the bottom of this page).

Step 5
 

Once your name and fax number data is prepared go ahead and click "File > Save As". In Microsoft Excel 2007 you will need to click on the circular office button in the top left hand corner followed by selecting "Save As" from the drop down menu.

In the "Save As" dialog box select CSV (Comma delimited) (*.csv) from the drop down list.

Step 6
 

Name the fax list document a something relevant and double check that the document is going to be saved as a CSV (Comma delimited) (*.csv), then click "Save".

Congratulations! You have successfully composed and prepared a fax list for uploading to your UTBox account!

In order to successfully upload your fax list to broadcast you must first log into the UTBox Member Centre. You may also log in at http://www.utbox.net .

Once you are logged in click the "Broadcasting" tab - the fourth tab from the left at the top of the page.

Click the second option down the left hand column entitled "Upload a List".

You are now ready to begin uploading a list to broadcast. Please follow the steps below to successfully upload a list to broadcast:

At the top of this page click "Browse" next to "Select the list file:".

Locate the list .csv file you would like to upload, then click open to select it.

In the text box entitled "Give the list a name:" enter an appropriate name for the list you are uploading so as to easily identify it when scheduling broadcasts in future.

Step 2  

Congratulations! You have successfully uploaded your list for broadcasting. To change your list we currently recommend to make edits on your local copy of the CSV file and re-upload them with a new name. To delete old lists, simply click "Manage Lists" in the left hand column of the "Broadcasting" tab of the UTBox Member Centre.

 

For merged fax broadcasting:

The fax list that you wish to upload for your broadcast must contain fax merge data. For each merge field you use in your document, there must be a column in the spreadsheet with the same name.

Please ensure your merge tag fonts are part of the fax merge supported fonts. We don't recommend the usage of unsupported fonts for the merging data as it may cause unpredictable resulst.

For example: your merge fax broadcasting list must contain a column entitled "Example" if you intend to include the tag "<mf:Example>"

Please note that a fax merge is charged differently from a normal broadcast. To check how much you are charged per page for a normal broadcast or a fax merge, click "Your Account" at the top and then "view details" next to your current plan, as listed on that page.
